General informations and deadlines
Registrations will start on the 3rd of June at 10:00 (GMT+2) and will last at least until the 20th of June at 23:59 (GMT+2).
Following the registration period, we expect to email all applicants by the beginning of July. Payments will then be required (by bank transfer or PayPal) within 15 days of receiving an acceptance email from the organising committee.
Please read the terms and conditions below for further clarifications and note that, upon registration, you will be asked for personal details (such as name, surname, date of birth, university affiliation, etc.).

Participation fee, requirements and selection
In order to enroll in the event you must be an AISF or RSEF member.
Note: if you are Italian and you are not an AISF member yet, you can become one at this link.
Note: if you are Spanish and you are not a Grupo de Estudiantes RSEF member, you can become one at this link.
The selected candidates will have to cover a participation fee of
• €100 if they choose to stay in the chosen facility of Hotel Campus;
• €50 if the candidates prefer to not use our facilities.
Such fee will cover:
• accommodation in Bari;
• coffee breaks, lunches and dinners included in the program;
• all breakfasts;
• transportation to/from Polignano and to/from Valenzano;
• access to the various facilities and events (university, laboratories, conferences);
• welcome bag with themed gadgets.
Please notice that participation fees does not cover the following:
• journeys to arrive at the event in Bari and leave once it is concluded;
• lunches and dinners not included in the programm;
• insurance.

Parallel sessions and Talks
During the event a set of parallel sessions will take place, so everyone is invited to apply and present their current research work, whether it is part of a thesis project (at bachelor, master or PhD level) or is an outcome of a summer programme or personal project.
Important notes
• Possible changes: the program will be constantly updated as further details are provided;
• Meeting time: It would be best to arrive in Bari on October 2nd by 1:00-2:00 PM , to attend the event’s opening ceremony. If you are unable to arrive within this timeframe, please inform us via email or IG a few days before the event.
• Meeting point: The meeting point (where the event organizers will welcome you) will be communicated via email to participants and on the SIPE25 Telegram group (the link to the Telegram channel will be sent via email to participants).
Terms
All personal data will be handled confidentially and in compliance with the European (GDPR EU 2016/679) and Italian (Art. 13 D. Lgs. 196/2003) data and privacy protection laws.
You acknowledge and agree that the Organising Committee, the Italian Association of Physics Students (AISF), and the hosts of the event have no responsibility whatsoever for injuries, losses, or damages of any kind that result from your participation in the Spanish Italian Physics Exchange.
By participating in the event, you agree to be filmed, photographed, and otherwise recorded during the conference and hereby expressly grant the organizing committee, AISF the right to use your picture, movie or any other form of media publication in contexts such as the internet, social medias, brochures, posters, informative and advertising materials. You also confirm that the information contained in this application is true and correct.
You accept that either the Organising Committee, or the Italian Association of Physics Students (AISF), or the hosts of the event cannot be made responsible for the content of any talk, poster, workshop, excursion or similar activity.
You accept that, in case of cancellation by a participant, the Organising Committee will provide a reimbursement only if a replacement for the student can be found. No reimbursement will be given for membership fees under any circumstances. If a reimbursement were to be approved, the Organising Committee will retain a total of 20% of the fee as a contribution to the expenses to the event.
You accept the IAPS Code of Conduct and the AISF Privacy Protection Policy (both downloadable below).
The present terms and conditions are governed by the laws of the Republic of Italy.
